How to set up missed-call text-back for a local service business

Short answer: check whether the phone or field-service app you already use has a missed-call auto-reply setting, write a short message that sounds like you, register for business texting if your app requires it, then test it from another phone. It takes about an hour if your app supports it.

What you need

  • A business phone number in an app that can send texts (a business phone app, or a field-service app with a phone line)
  • 30 to 60 minutes
  • Your Google review link (optional, for a later step)

Steps

  1. Find the setting. In your phone or field-service app, look under settings for "auto-reply", "missed call", "away message" or "after-hours". Many business phone apps have one. A regular personal cell plan usually doesn't send an automatic text for every missed call. If you can't find it, search your app's help center for "missed call text".
  2. Check if you need carrier registration. US carriers require businesses that send texts from an app to register first (often called A2P 10DLC registration). Your app will usually prompt you. Registration can take days to a couple of weeks, so start it first.
  3. Write the message. Keep it short, use your business name, and ask one question. Example: "Hi, this is Sam at Sam's Lawn Care. Sorry I missed your call, I'm on a job. What can I help with? I'll text or call you back today."
  4. Set when it sends. Decide if it sends all the time or only during work hours, and write a second version for after hours if you want one ("We're closed for the day; we'll reply first thing tomorrow").
  5. Test it. Call your business number from a different phone, let it ring out, and check the text arrives and reads right.
  6. Reply fast. The text buys you a few minutes, not a day. Check replies between jobs and answer the same day.

Common mistakes

  • A long message. One or two sentences is enough.
  • Adding marketing or offers. Keep it a reply to someone who just called you.
  • Forgetting to test after changing phones or plans.
